Privacy policy.

Last updated: 10 July 2025

This Privacy Policy explains how we collect, use, store, and protect your personal information at Progression Naturopathy when you visit our website, book a session, or attend a consultation (online or in person).

We are committed to handling your information in accordance with the Privacy Act 1988 and Australian Privacy Principles.

1. What Information We Collect

We may collect the following information:

·       Your name, date of birth, contact details (email, phone, address)

·       Health history and symptoms

·       Lifestyle, nutrition, and treatment preferences

·       Payment details (processed securely through third-party platforms)

·       Notes taken during consultations

·       Technical data when using our website (e.g. browser type, IP address)

2. How We Collect Your Information

We collect your information when you:

·       Book an appointment

·       Complete a health intake form

·       Attend a consultation (online or in person)

·       Contact us by email, phone, or through our website

·       Use our website or social media pages

3. Why We Collect Your Information

We collect your information so we can:

·       Provide safe, appropriate Naturopathic care

·       Keep accurate clinical records

·       Follow up on treatment and support

·       Contact you with updates, reminders, or requested information

·       Meet legal and professional record-keeping obligations

We will only collect what we need to provide your care.

4. Where and How Your Information Is Stored

Your records are stored securely using:

·       SimpleClinic – a clinical practice management system designed for natural health professionals, hosted on encrypted servers in Australia.

·       Heidi – an AI-powered clinical scribing tool that helps generate consultation notes from our sessions. Heidi is used to assist in accurately recording session details.

How we use Heidi:

·       Heidi is used during or after consultations to assist in preparing clear and accurate notes.

·       These notes are reviewed and approved by your practitioner before being added to your clinical record.

·       Heidi does not make clinical decisions or treatment recommendations — it is a tool to support record-keeping.

We only use AI tools that meet high standards for privacy and security, and we take extra care when handling health-related information. Your data is encrypted and securely stored, and access is limited to authorised staff.

5. Sharing Your Information

Your information is not shared with others unless:

·       You provide written consent

·       It’s legally required (e.g. by court order or if there is a serious risk of harm)

·       It’s necessary to coordinate care with another health professional, with your permission

·       It is processed through approved third-party tools (like SimpleClinic or Heidi) to support the running of our practice — in which case we ensure they meet Australian privacy standards

6. Access and Correction

You have the right to:

·       Access the personal information we hold about you

·       Ask us to correct or update your information if it's incorrect

·       Request a copy of your records

To do this, contact us in writing at halle@progressionnaturopathy.com.au

7. Data Retention

We are required to keep health records for a minimum of 7 years after your last consultation (or longer if you were under 18 at the time of treatment), in line with Australian law.

After this time, your records will be securely deleted or destroyed.

8. Website and Third Parties

Our website may use cookies or collect browsing data for performance and security purposes.
We link to third-party sites (like booking systems or payment providers). We are not responsible for their privacy practices — please check their policies if you're unsure.
